AV Equipment & Connections
Display & Cable Connectivity
How do you connect laptops with mixed ports (USB-C/HDMI/DP)?
Carry universal USB-C to HDMI adapter and backup DP cable. Confirm display supports native 1080p/4K at 60 Hz. Keep spare dongle at reception to save sessions.
How do you avoid screen-share blackouts?
Disable HDCP on display if possible and ensure cable isn’t damaged. Set laptop output to mirror at 1080p to reduce handshake issues. Restart display chain if needed.
Are dual displays worth it for workshops?
Yes—use one for slides, one for exercises/chat or remote participants. Dual screens reduce context switching and keep energy high. Align resolutions for clean mirroring.
Audio Setup
What audio gear prevents echo and “tin-can” sound?
Choose rooms with acoustic panels and conferencing soundbar or table mics with echo cancellation. Avoid laptop mic/speaker in larger rooms. Position mic away from HVAC vents.
How do you share audio from videos during a demo?
Use HDMI with audio enabled or “share system audio” in VC app. Do sound check at presentation volume to prevent clipping. Keep 3.5 mm cable as fallback.
Backup & Contingency
What backup IT do you need for training rooms?
Have spare laptop, extra HDMI/USB-C cables, clicker with batteries, and portable hotspot. Print quick AV map and tech contact. Label every cable for recovery.
What’s the minimum kit for a reliable hybrid training?
1080p camera, echo-cancelling audio bar, wired host PC, and dual screens. Test breakouts, polls, recordings 24 hours ahead. Have co-host to manage chat and tech.
